From early morning setup to late-night breakdown, they’re on-site for hours – often 8, 10, sometimes even more – working hard to bring your vision to life. And just like anyone else, they do their best work when they’re taken care of.

We always recommend providing your vendor team with a hot meal, ideally the same (or very similar) to what your guests are enjoying. This isn’t about being fancy – it’s about being practical and thoughtful. A proper meal goes a long way in keeping your team energized and focused.

Timing is everything.


Vendor meals should be served at the same time your guests are eating. This ensures your team can take a quick break without missing important moments like toasts, special dances, or key transitions. Trust us – you want your photographer present for that spontaneous laughter during speeches, not waiting in line for a meal afterward.

Your planner (hi, that’s us!) will coordinate with your caterer to ensure meals are accounted for, timed properly, and served efficiently – often in a separate space so your team can recharge quickly and get back to doing what they do best.
