Why Feeding Your Wedding Pros Matters (More Than You Think!)

When you’re planning your wedding, you’re making a lot of decisions – menu tastings, seating charts, signature cocktails… the list goes on. But there’s one detail that often gets overlooked: feeding your vendor team. When you work with RCC Weddings & Events, we won’t let you forget this detail!

We’re here to gently (and lovingly) say – this one matters.

Your wedding pros are the behind-the-scenes crew making your day seamless, beautiful, and stress-free. From early morning setup to late-night breakdown, they’re on-site for hours – often 8, 10, sometimes even more – working hard to bring your vision to life. And just like anyone else, they do their best work when they’re taken care of.

So, what’s the right approach?

We always recommend providing your vendor team with a hot meal, ideally the same (or very similar) to what your guests are enjoying. This isn’t about being fancy – it’s about being practical and thoughtful. A proper meal goes a long way in keeping your team energized and focused.

Timing is everything.

Vendor meals should be served at the same time your guests are eating. This ensures your team can take a quick break without missing important moments like toasts, special dances, or key transitions. Trust us – you want your photographer present for that spontaneous laughter during speeches, not waiting in line for a meal afterward.

Why it really matters:

  • A well-fed team is a happy team.
  • A happy team performs better (and with more enthusiasm!).
  • Better performance = a smoother, more enjoyable experience for you.

And honestly? It sets the tone. When wedding pros feel appreciated, it creates a positive energy that carries throughout the entire day.

A quick note on logistics:
Your planner (hi, that’s us!) will coordinate with your caterer to ensure meals are accounted for, timed properly, and served efficiently – often in a separate space so your team can recharge quickly and get back to doing what they do best.

Final thought:
Feeding your vendors isn’t just a line item – it’s an investment in your wedding day experience. And if a hot meal helps your DJ keep the dance floor packed, your photographer captures every perfect moment, and your planner keeps everything running like clockwork… we’d say it’s well worth it.

Plus, no one wants a hangry wedding planner. Trust us on that.

How to Plan a Stress-Free Wedding Morning (Yes, It’s Possible!)

Your wedding morning should feel like the beginning of a celebration – not a race against the clock with cold coffee and rising stress levels. With a little planning (and the right mindset), you can actually enjoy those special hours before you walk down the aisle.

Here’s how to keep things calm, organized, and even fun.

Build in Buffer Time (Future You Will Be Grateful)

Here’s a little secret, Renee pads your timeline with just a little extra time for touch-ups, bathroom breaks, and deep breaths. A relaxed schedule means no rushing, no panic, and better photos.

Eat Something (Seriously)

Between nerves and excitement, it’s easy to forget to eat – but your body needs fuel. Have easy snacks ready – fruit, granola bars, pastries, and lots of water or champagne (balance is key 😉).

Create a Wedding Morning Playlist

Set the mood with music you love – upbeat for energy or mellow for calm vibes. Music instantly turns getting ready into a mini party and keeps the nerves away.

Bonus: it makes those behind-the-scenes moments feel extra special.

Remember that RCC Weddings & Events is handling the logistics

Keep the Room Clutter-Free

Designate one corner (or a bag) for purses, food containers, and extra stuff. A clean space looks better in photos and keeps things from feeling chaotic.

Calm space = calm energy.

Soak It In

Take a moment – just you and your partner, or with your favorite people – to breathe, laugh, and appreciate what’s happening. These are some of the sweetest memories of the whole day.

Just Engaged This Holiday Season? Here’s How to Soak It In (and When to Start Planning).

The holidays have a certain magic of their own –  twinkling lights, cozy gatherings, and a feeling of togetherness that makes everything feel a little more special. So it’s no surprise that it’s also one of the most popular times of the year to get engaged.

If you’re reading this with a brand-new ring on your finger: congratulations! This is such an exciting moment, and you absolutely deserve to savor it.

Before you dive into checklists, contracts, and color palettes, take a breath. Here’s your guide to enjoying this season while still being mindful of when to officially press “go” on planning.

Step 1: Slow Down and Celebrate

A holiday engagement is already a built-in celebration. Take advantage of it.

  • Enjoy telling your friends and family in person as you hop between holiday parties.
  • Snap all the “just engaged” photos you want –  the twinkle lights will do half the work for you.
  • Have a date night that’s just about being excited together, without any planning talk.

This moment only happens once. It’s okay to live in it for a bit.

Step 2: Don’t Feel Rushed – Your Planning Timeline Is Yours

Many couples feel pressure to begin planning immediately, but there’s no rule that says you have to. If you want to spend the rest of the winter celebrating, dreaming, and simply enjoying being newly engaged, that is perfectly okay.

Waiting a few weeks (or even months!) can actually be helpful – you’ll have time to think clearly about what you want instead of making decisions from excitement, pressure, or overwhelm.

Step 3: The Exception — If You Want a Popular Month, Start Earlier

If your dream wedding date falls in one of the peak months next year (think May, June, September, or October), starting the planning process sooner rather than later will give you a huge advantage.

Those months book quickly – especially venues, photographers, planners, and florists. Beginning early gives you:

  • The best selection of venues and dates
  • A smoother, more relaxed planning process
  • Time to secure your top-choice vendors before they fill up

You don’t need to jump into planning everything right now, but reaching out to your must-have vendors or booking your venue early will give you peace of mind and flexibility later.

Step 4: When You Are Ready to Plan, Start With These Two Things

Whether you begin next week or next spring, once you feel ready to start planning, these are the first steps to take:

1. Set Your Budget – This will guide every decision you make and help you understand what’s realistic for your vision.

2. Choose Your Venue – Most timelines fall into place once the venue and date are secured. Everything else can build from there.

Step 5: Remember – This Is Supposed to Be Fun

Wedding planning doesn’t need to feel stressful or rushed. With the right approach – and the right support – you can enjoy the process just as much as the celebration.

If you’re newly engaged this holiday season, I’m sending you so much love and excitement! And whenever you’re ready to take the next step, whether it’s next week or after you’ve fully soaked in this chapter, I’m here to help you bring your vision to life.

xo, Renee
